Add, edit, delete contacts
Learn different ways to add contacts to TaxDome, including adding them during account creation, manually creating individual contacts, and importing multiple contacts at once.
Contacts, explained
Contacts are the people you interact with during your work. The Contacts feature lets you store their personal details, including information about clients, coworkers, prospective clients, partners, and clients’ family members.
Creating a contact is an internal action visible only to your firm. To grant portal access, you must check the Login box for that contact and add their email address. Without both, clients cannot log in to their portal.

You can add contacts in the following ways:
Add contacts manually
Add contacts one at a time when you need to create individual entries. This is ideal for adding new clients or updating your contact list as your business grows.

Once you have created an account, you can add additional contacts to it directly from the account’s Info tab.
To create a contact:

Go to Clients > Accounts from the left menu bar and open the account.

Switch to the Info tab.

Click the Create button in the Contacts section.

a. Contact name: Enter client’s first and last name. Contact name is generated automatically using the default name format .
b. Email: An email address is necessary for clients to log into their portal. If a client does not have one, they won’t be able to access their TaxDome account. Add more email fields if needed: for that, you’ll need to create custom CRM fields .
Tipp
If a client only has one email address but you need to add multiple contacts, you can use plus addressing (e.g., john+1@gmail.com ). This lets each contact have a unique email while all messages still go to the same inbox. Learn more about plus addressing in this article .c. Add phone number: You can enter a primary phone number along with any additional numbers in this section. The primary phone number will be used for SMS . To set a number as primary or delete it, click the three dots next to the number.
d. Address: Add the full address of the contact to ensure it is organized and easy to find.
e. Tags: Assign tags to help organize your contacts.
f. Custom fields: If you have created custom fields for your contacts, they’re displayed here.
g. Linked accounts: To save time, you may link account(s) to your new contact on the spot. Click the Link accounts, then select the existing account.
h. Create: Click here to save your contact.
Add contacts in bulk
Save time by importing multiple contacts at once using a CSV file or vCard file from your email application. This is especially useful when migrating from another system or adding large numbers of contacts.

You can add contacts to TaxDome in bulk by importing a CSV file using our import tool. Though it is primarily used to add contacts along with accounts, you can also import contacts from CSV files on their own. Here’s how.

Once you have your CSV file with CRM data, go to Clients > Accounts or Clients > Contacts from the left menu bar, click Import, then upload your file.

Since you are not going to import accounts, at the Map accounts step, click X to the right of the Choose CSV column for Account Name field. This will also hide sections that refer to account import.

At the Map contacts step, review the column header names from your spreadsheet on the left. The column header names in your spreadsheet that match TaxDome contact property names (e.g., First Name, Phone, Email, City) get automatically mapped. For each CSV property, you can:

- Automatically apply tags to the newly created contacts.

At the Review step, you will be able to see which contacts will be created with which names and email addresses. If everything looks good, click Start Import. If not, go back to make any necessary fixes.
Once the import is done, you will receive an email notification. You’ll also see added contacts on the Clients > Contacts page.
Later, when you need to link these contacts to accounts, you can do it either while editing a contact or from a client account profile .
Add contacts in bulk by importing a contact list from the email (vcard)
You can import contacts directly from your email application (such as Apple Mail, Gmail, or Outlook) by exporting them as a vCard file (.vcf) and then importing them into TaxDome. This method is useful when you want to quickly transfer contacts from your email, though it doesn’t allow you to import accounts or customize the import process.

To make changes to a contact’s details, go to Clients > Contacts from the sidebar menu, then click on the name of the contact in the list. Edit a contact’s details in the slide-out window and click Save.
You can also access the contact’s info and change it by opening the Info tab in the client account profile, then clicking on the contact’s link in the Contacts section.

To remove contacts, go to Clients > Contacts from the sidebar menu, check the box next to the ones you want to delete, click the trash icon and confirm deletion. To select all contacts, click the topmost checkbox.
To remove a contact, you can also click the trash icon to the right of the contact’s name, then confirm deletion.
