Work with invoice list

This article covers how to search, filter, sort, and manage your invoice list. To perform actions on an individual invoice, refer to the corresponding article .

Access invoice list

You can access invoices in two places:

  • Billing > Invoices: Shows all invoices across all client accounts. The total number of invoices, the total amount paid, and the total unpaid are displayed at the top left. When the list is filtered, amounts are recalculated.

  • Client account > Invoices tab: You can also view invoices for a specific client from their account profile. Open the Invoices tab to see that client’s invoices alongside a summary of their invoice totals: number of invoices, paid, unpaid, available credit , and net due.

The Invoices page is available to firm owners, admins, or team members with Manage invoices access right .

Work with the list

The Invoices page lets you manage your invoice list by searching, filtering, sorting, and customizing the table to find the invoices you need. Use the options below to get the most out of your invoice list.

Search for invoices

To find specific invoices, type a keyword in the search field—an invoice number, the first/last name of the client, or the assigned team member—then press Enter on your keyboard.

Click the x in the search field to clear it.

Filter list of invoices

Filters are useful when you need to find certain types of invoices. For example, filtering might allow you to quickly find all unpaid invoices.

To narrow down a list of invoices:

  1. Click Filter at the top left.

  2. Select the parameter that will be filtered (e.g., Status), then select the parameter values with checkboxes (e.g., Paid, Unpaid).

  3. Choose the operator: is or is not

Sort list of invoices

Sort invoices by status, date posted, date paid, amount, account or assigned team member. Click the up-down arrows next to the chosen column name to sort the list. The sorting option can also be applied after searching or filtering invoices.

Customize columns

You can customize your invoice list in various ways: resize, enable, disable, and move columns to your liking.

  • Resize columns: Click and hold the divider between column names and resize it by moving your mouse.
  • Choose which columns to display: Click the gear icon at the top right of the table.

Here, you can select the columns you want to be displayed and change their order. You can enable, disable, or move any columns you want, except for the Account and Invoice number columns. After clicking Apply, the table will be rebuilt with the new settings. Click Reset to restore all columns.

Print list of invoices

Click the printer icon at the top right of the Invoices page to print the list. Your browser will offer to print the list; it will include the date and time.


Reference: Invoice list columns

Column Description
Invoice number Each invoice has a unique number. Click it to open the invoice and view it (for paid invoices) or edit it (for the rest of the invoices)
Account The client being invoiced. Click their name to go to their profile. Available on Billing > Invoices only
Status The invoice status
Assignee The team member responsible for the invoice
Posted The date the invoice was issued
Total The total amount of the invoice
QuickBooks If you have synced TaxDome with QuickBooks Online, the invoice sync status. Values: Synced (successfully synced; click the status icon to open the invoice in QuickBooks Online), Not synced (not synced; may need to be synced manually ), Syncing (sync in progress), Failed (sync error; hover over the icon to see the error, then fix it ), Skipped (sync was skipped for this invoice)
Last paid Once the invoice is paid fully or partially, the payment date or time (if the same day) appears or is updated here. The full payment history is inside the invoice
Amount paid The invoice amount that has been paid
Balance due The invoice amount that still has to be paid
Description If added when the invoice was created, a memo about the contents of the invoice
Locked docs Documents locked to this invoice . Locked documents become accessible to the client once the invoice is paid
Invoice source Shows what triggered the creation of the invoice (proposal, job, or recurring invoice). If the invoice was created manually or the original item has been deleted, this field is blank

Filter What it returns
Account name Invoices issued for a specific client. Available on Billing > Invoices only
Status Invoices that are paid, partially paid, unpaid, overdue, or scheduled
Amount Invoices in the amount greater, equal to or less than a specific amount
Date Invoices issued during a specific number of days, months or years
Payment method Invoices that can be paid by either credit card, bank debit, or both
Services Invoices that include specific services
QuickBooks class Invoice with/without a particular class sent to QuickBooks
QuickBooks location Invoice with/without a particular location sent to QuickBooks
