Messages (Basic): Create & Apply Templates

Message templates are for communications you regularly send to clients. They can also be used as automations in pipelines to send automatic notifications to clients. By creating message templates, you skip having to write the same messages over and over every time you have to send them.

Creating Message Templates

A message template can be created by a firm owner, an admin or any employee with access rights to manage templates. To create a message template, go to Settings from the left sidebar, select Templates in the menu bar, go to Messages, then click CREATE TEMPLATE. Or access this page by selecting the Send Message automation while creating or editing a pipeline, then clicking the New template button.

Below, learn what to do in each numbered sections in the Update Message Template window where you create message templates:

1. Name: Enter a name for the template—what you’ll see when you select it.

2. From: Select the team member on behalf of whom the message should be sent. This is the name the recipient will see as the sender, no matter who has moved the job to the next stage.

3. Title: Enter a subject line; it will appear as the name of the communication in the recipient’s message list.

4. Add Shortcode: To individualize the message, apply shortcodes (dynamic data) to include, for example, the recipient's name, the account name or the date. Shortcodes are available for both the message title and body. Fore more information about shortcodes, go here.

5. Body: Compose the message, using formatting, emojis, links and more.

6. Tasks: Add client tasks. Tasks are displayed as a to-do list with checkboxes. Click Add task to add more to-dos. Once a task is completed, either you or the client can check it off. To learn more about managing client tasks, go here.

7. Save: Save the template for future use.

Applying Message Templates

Once you have made a message template, use it to speed up creating new messages. Here’s how:  

1. Create a new message by doing one of these: 

  • Click + NEW, then select Chat
  • Click New Chat in the Messages section of the account profile.
  • Select one or more recipients in your Accounts list, then select Send Message in the pull-down menu.

2. In the Template field, select a template from the pull-down menu. 

3. Edit the message or compose a new one.
tip Note: Changes you make to the message don’t alter the selected template.

Editing Message Templates

To make changes to a message template, follow these steps:

1. Go to Settings from the left sidebar, select Templates in the menu bar, go to Messages, then click on the message template’s name in the list.

2. Make changes to the message template, then click  SAVE.

Deleting Message Templates

To remove a message template completely, go to  Settings from the left sidebar, select Templates in the menu bar, then open Messages. Click the three dots to the far right of the message template’s name, select Delete, then confirm by clicking DELETE in the Delete Confirmation pop-up.

3. Select the template in the  Template field pull-down menu.  

4. Edit the existing message or compose a new one, then select the message settings.

Note: Changes you make to the message don’t alter the selected template.

Deleting Message Templates

To remove a message template completely, go to Settings from the left sidebar, select Templates in the menu bar, then open Messages. Click the three dots to the far right of the message template’s name, select Delete, then confirm by clicking DELETE in the Delete Confirmation pop-up.
